Vehicle Inventory Administrator

Join the team at Grand Toyota Wangara as a full-time Vehicle Inventory Administrator, supporting the day-to-day administration behind one of WA's largest Toyota dealerships. This is a great opportunity for someone with strong attention to detail and administration skills who enjoys working with numbers, systems and processes. You'll play an important role in keeping our vehicle inventory, licensing, deal documentation and finance administration accurate and up to date.

About the role

As our Vehicle Inventory Administrator, you will maintain accurate new and used vehicle inventory records while supporting licensing, deal costing, reconciliations and general dealership finance administration. Working closely with the Financial Controller and dealership team, you'll help ensure vehicle documentation and records are accurate, complete and processed on time.

 

What you will be doing

  • Maintain accurate new and used vehicle inventory records and reconciliations.

  • Complete vehicle licensing and Department of Transport requirements.

  • Cost vehicle deals and support gross profit and commission calculations.

  • Compile deal packs and complete required documentation checks.

  • Support accounts payable, accounts receivable and bank or merchant reconciliations within the scope of the role.

  • Assist the Financial Controller and dealership leadership with reporting, administration and queries.

What you will bring

Essential

  • Strong attention to detail, accuracy and organisation.

  • Confidence using Excel and learning new systems.

  • Ability to manage deadlines and compliance requirements.

  • Australian working rights.

 

Desirable, but not essential

  • Previous experience in dealership administration, vehicle inventory, accounts or licensing.

  • Experience using Pentana, ERA or another dealer management system.

  • An understanding of vehicle deal documentation, costing or reconciliation processes.
