About Us

As we continue to grow in the Australian market, we are seeking a detail-oriented and proactive Administration Officer to join our team. This role is central to ensuring smooth financial operations, with a focus on customer refunds, document review, and administrative support. This is a full-time position.
The Role
As a Finance Administration Officer, you will be responsible for reviewing and verifying documentation submitted by retail partners to ensure all required records are accurate, complete, compliant, and finalised within monthly deadlines. This role requires strong attention to detail, accuracy, and the ability to manage a high volume of partner documentation within set timeframes.
A key focus of the role is to check that all required documents have been fully completed, signed by customers where required, and submitted in line with company policies and process requirements. You will also liaise with retail partners to follow up on missing, incomplete, or incorrect documentation and ensure all verified records are properly maintained and submitted for archiving.
Key Responsibilities

Review and verify documentation submitted by retail partners for accuracy, completeness, and compliance with company requirements.

Check that all required documents have been fully completed and signed by customers where required.

Manage monthly document review deadlines and ensure partner submissions are reviewed and finalised within the required timeframe.

Identify missing, incomplete, unsigned, or incorrect documentation and follow up with retail partners for correction.

Verify supporting documentation against internal records to ensure consistency and accuracy.

Compile, organise, and maintain financial and administrative records relating to partner document submissions.

Submit verified documents to the company’s archiving system within required timelines.

Liaise with retail partners to resolve documentation issues and provide guidance on submission requirements.

Support internal audits and compliance checks by providing accurate, complete, and timely documentation.

Maintain confidentiality and security of customer, financial, and partner information.
What We're Looking For

Experience in accounts payable, finance, or administration, with a focus on refunds and ledger allocations (automotive industry experience is an advantage).

Strong attention to detail and accuracy in financial processing.

Proficiency in Microsoft Office Suite, particularly Excel.

Experience with dealership accounting software (e.g., Pentana's ERA DMS) is desirable.

Excellent communication and interpersonal skills.

Strong problem-solving skills with a proactive approach.
