Fleet Administrator

Toyota Waverley is seeking a detail-oriented and organised Fleet Administrator to join our dealership team. This role plays a key part in supporting the fleet sales function by ensuring all vehicle orders, documentation, and delivery processes are managed accurately and efficiently.
Working closely with Fleet Sales Consultants and internal departments, you will coordinate administrative processes from order through to delivery, ensuring a smooth experience for both customers and the dealership. This opportunity is ideal for someone who thrives in a structured, fast-paced environment and takes pride in accuracy and organisation.

What you will be doing:

• Process fleet vehicle orders and maintain accurate records
• Prepare and manage delivery documentation and compliance requirements
• Liaise with sales, stock control, and pre-delivery teams
• Coordinate vehicle registrations, invoicing, and delivery schedules
• Maintain and update dealership systems and reporting
• Monitor order progress and follow up on outstanding items
• Provide administrative support to the fleet sales team

What you need:

• Previous administration or coordination experience
• Strong attention to detail and high level of accuracy
• Excellent organisational and time management skills
• Confident computer skills and ability to learn dealership systems
• Strong communication skills and ability to liaise across teams
• Ability to manage multiple tasks and deadlines
• A proactive and team-focused approach
