About Us:
BYD Automotive is a global leader in electric vehicles and sustainable transport solutions. As we continue to grow in the Australian market, we are seeking a detail-oriented and proactive Finance Administration Officer to join our dynamic team. This role is crucial in ensuring smooth financial operations, with a strong focus on customer refunds, document reviews and other administrative tasks.

 

The Role
As a Finance Administration Officer, you will play a critical role in managing financial transactions related to customer refunds arising from retail partners. Your primary responsibilities will include reviewing documentation submitted by retail partners to ensure compliance with the established requirements and adherence to company policies.
In addition to financial oversight, the role involves key administrative duties such as compiling partner-submitted documents and ensuring timely submission to the organization’s archiving system. Given the nature of this role, effective and professional communication with retail partners is essential. Success in this position requires strong organizational abilities, keen attention to detail, and a proactive approach to problem-solving.

 

Key Responsibilities

  • Review and verify documentation submitted by retail partners to ensure accuracy, completeness, and compliance with company policies and established requirements.
  • Process financial transactions related to customer refunds in a timely and accurate manner.
  • Perform regular accounting reconciliations to ensure accuracy between internal records and partner submissions.
  • Compile, organize, and maintain financial and administrative documents submitted by retail partners.
  • Submit verified documentation into the company’s archiving system within required timelines.
  • Liaise professionally and effectively with external retail partners to resolve discrepancies and provide guidance on documentation standards.
  • Support internal audits and compliance checks by providing accurate and timely documentation as needed.
  • Always maintain confidentiality and security of financial and partner information.

 

What We’re Looking For:
To be successful in this role, you should have:
📌 Prior experience in accounts payable, finance, or administration, with a focus on refunds and ledger allocations (automotive industry experience is a plus).
🔍 Strong attention to detail and high level of accuracy in processing financial transactions.
💻 Proficiency in Microsoft Office Suite, particularly Excel.
📖 Experience with dealership accounting software (e.g., Pentana's ERA DMS) is desirable.
🗣️ Excellent communication and interpersonal skills.
🎯 Strong problem-solving skills and a proactive approach to work.
