We are seeking a highly organised and customer-focused Administration Officer to join the team at Essendon Ford. This role is responsible for providing administrative support across the dealership, ensuring the accurate and efficient completion of daily tasks while contributing to a positive experience for both customers and internal stakeholders.

 

Working closely with the Sales Team and dealership management, you will play a key role in supporting daily operations, maintaining accurate records, and delivering exceptional customer service in a fast-paced dealership environment.

 

This is a full-time position working 5 days per week, including Saturdays, with a rostered day off during the week.

 

Key Responsibilities

  • Provide administrative support to the Sales Team and dealership management
  • Prepare, process, and maintain sales documentation and customer records
  • Assist with vehicle delivery administration and registration paperwork
  • Answer and direct incoming telephone calls in a professional manner
  • Welcome customers and assist with showroom enquiries
  • Schedule appointments and manage departmental correspondence
  • Maintain electronic and paper filing systems
  • Order office supplies and assist with general office administration
  • Assist with manufacturer reporting, compliance requirements, and data entry
  • Ensure reception and customer waiting areas are presented to a high standard
  • Manage vehicle registration and delivery documentation
  • Support the preparation of reports and dealership documentation
  • Assist with vehicle stock control and data management
  • Undertake other administrative duties as directed

 

About You

  • Previous administration experience, preferably within the automotive industry
  • Strong organisational skills and exceptional attention to detail
  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook
  • Ability to prioritise tasks and manage competing deadlines
  • A proactive and team-oriented approach
  • Professional presentation and a positive attitude
  • Experience with dealership management systems is highly regarded
  • Ability to thrive in a busy customer-facing environment
